Job Description

Our client, a reputable, boutique law firm based in Santa Barbara and Los Angeles, CA specializing in Plaintiff Litigations, Workers’ Compensation, and Bad Faith Insurance Litigation is looking for an Office Manager to join their team in Santa Barbara, CA! This is an integral role that will combine office management, HR responsibilities, and management of legal staff to ensure the smooth and efficient functioning of the firm. Key Responsibilities

Office Administration & Operations

  • Oversee day-to-day office operations, ensuring efficiency and organization across both locations.
  • Manage office supplies, equipment, and facilities maintenance.
  • Coordinate office schedules, meetings, and appointments for attorneys and staff.
  • Implement and maintain office policies and procedures, ensuring compliance with legal regulations and firm standards.
  • Act as a liaison between partners and staff, facilitating clear and effective communication.
  • Prepare and proofread legal documents, correspondence, and reports as needed.
  • Coordinate and plan firm events, meetings, and client engagements.

Human Resources & Employee Relations

  • Serve as the primary point of contact for all employees regarding HR-related inquiries.
  • Handle onboarding and offboarding processes, including new hire paperwork and exit interviews.
  • Maintain employee records and ensure compliance with employment laws.
  • Assist in managing employee benefits and leave requests.
  • Assist in payroll administration and processing, ensuring timely and accurate distribution of employee wages
  • Ensure proper deductions, tax withholdings, and compliance with state and federal payroll regulations.
  • Foster a positive work environment, promoting team cohesion and addressing employee concerns.

Legal Support & Case Management

  • Collaborate with paralegals and case managers to ensure timely and accurate completion of tasks.
  • Assist in managing case files, including organizing and maintaining physical and electronic records.
  • Coordinate communication between clients, attorneys, and support staff.
  • Monitor case timelines and deadlines to ensure compliance and efficiency.

Qualifications

  • Bachelor's degree or equivalent experience in office administration, legal studies, or a related field.
  • Minimum 5-10+ years of experience in an office manager role within a law firm or a paralegal role.
  • Strong understanding of legal terminology and office procedures.
  • Proficiency in Microsoft Office Suite and legal case management software.
  • Experience in payroll administration using Paychex is strongly preferred
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Proven management expereince of legal staff
  • Ability to travel to Los Angeles office 1 day/week
