Job Description
A Branch Office Assistant is responsible for performing a range of clerical and administrative tasks to support daily operations in an office setting. Their duties include greeting office visitors, directing and coordinating appointments or schedules, and courteously greeting callers and answering their questions and requests as necessary.

Duties and Responsibilities

1. Clearly and effectively communicate over the phone, via email, and text, prioritizing time-sensitive communication
2. Greet and direct guests upon arrival
3. Answer a multi-line phone system and direct calls to personnel extensions/voicemails
4. Support customer development in placing customer sales orders
5. Communicate customer pick-ups to the warehouse and accounting teams
6. Collect, sort, and file incoming and outgoing mail
7. Upkeep an efficient filing system to make updating and retrieving files easier
8. Assist and support the Branch Office Manager
9. Perform other duties as assigned

Qualifications (Required)

• Proactive, quick-thinking, problem-solving approach to work
• Excellent communication, organization, and data-entry skills
• Strong attention to detail and solid written, verbal, and interpersonal communication skills
• Ability to build and maintain relationships across teams, departments, branches, customers, vendors, and service providers
• Proficiency in M365, especially Dynamics, Excel, Outlook, Teams, and Word

Physical Requirements

• Must be able to access and navigate every department within the organization
• Must be able to bend, lift (at least 55 lb.), stretch, and climb (including ladders)
• Must be able to sustain prolonged periods of standing and walking
• Requires bending, sitting, standing, walking, use of hands, arms, legs, eyes, and voice
